Facilities Coordinator

About the role

The Facilities Coordinator will be the first point of contact for visitors, employees and callers at the client’s office, ensuring a seamless, welcoming and professional experience. Working closely with JLL’s tech client, you will support day‑to‑day operations and maintain a safe, functional workplace.

Key responsibilities

• Provide high‑standard service face‑to‑face, by phone and email.
• Answer and action client requests and inquiries promptly.
• Coordinate meeting‑room bookings, catering and ensure reception areas are hazard‑free.
• Maintain office supplies inventory and place orders as needed.
• Receive, sort and distribute mail and packages, including courier management.
• Participate in safety drills and training sessions.
• Manage the e‑library of news, announcements and reports.
• Report building maintenance issues and collaborate with the facilities team.
• Oversee vendor relationships for cleaning, plant care, kitchen supplies and routine maintenance.
• Organise client events and respond to employee facility inquiries.
• Process invoices, work orders and schedule routine inspections.
• Ensure compliance with health and safety regulations and communicate facility updates to staff.
• Assist the Facility Site Lead with daily operations and ad‑hoc tasks.

Required profile

• Strong customer‑service and interpersonal abilities.
• Collaborative team player who can also work independently.
• Excellent verbal and written communication skills.
• Experience in financial/investment banking services, hotel or corporate reception/customer‑service roles is desired.
• First‑Aid certification is a plus.
