Administrative Assistant - Repurposed to Operations Manager

About the role

Coolit, a leading provider of direct liquid cooling solutions, is seeking a proactive Administrative Assistant who will transition into an Operations Manager role. You will be the hub of office activity, ensuring smooth day‑to‑day operations while supporting senior executives and cross‑functional teams.

Key responsibilities

• Oversee office set‑up, supplies, and facilities to keep the new workspace fully operational.
• Coordinate with contractors, vendors, and building management to monitor renovation timelines and service contracts.
• Manage executive calendars, schedule meetings, resolve conflicts, and arrange domestic and international travel, including visas and itineraries.
• Prepare meeting agendas, materials, and follow‑up notes; support trade‑show planning and execution for events such as Computex.
• Assist HR with interview scheduling, candidate communications, onboarding, and maintaining applicant records.
• Serve as the first point of contact for calls and visitors, handle mail and courier logistics, and ensure a professional front‑office experience.
