About the role
We are seeking a proactive and detail‑oriented Bilingual Client Intake Specialist to serve as the primary point of contact for clients while providing administrative support to our legal team. The ideal candidate is fluent in Mandarin and English and excels in client communication, scheduling, organization, and coordination.
Key responsibilities
- Handle client calls, emails, and social‑media inquiries in Mandarin and English, ensuring clear and professional communication.
- Screen inquiries, identify client needs, schedule consultations, and guide prospects through the intake process.
- Build rapport, follow up on leads, and support conversion of inquiries into retained clients, meeting monthly targets.
- Manage calendars, inboxes, communications, and deadlines while providing day‑to‑day operational support to management.
- Maintain accurate client records in CRM systems, tracking interactions, follow‑ups, and intake progress.
- Liaise with clients, business partners, and third parties, maintaining strong working relationships.
- Collaborate closely with attorneys and team members to ensure smooth communication, efficient workflows, and high client satisfaction.
Required profile
- Minimum 2 years experience in client relations, customer service, administrative support, or a related role.
- Bachelor’s degree in communications, business administration, or a related field preferred.
- Fluent in Mandarin and English, both written and verbal.
- Prior experience with a U.S.‑based law firm, preferably immigration law, highly preferred.
- Familiarity with CRM software, virtual communication tools, and scheduling applications.
- Proficiency in Microsoft Office Suite, email management systems, and virtual collaboration tools.
- Strong attention to detail, ability to multitask, and reliable home‑office setup with internet connection.
- Experience using social‑media platforms such as RedNote, WeChat, Facebook, Instagram, WhatsApp, and LinkedIn.
